Per-user vs flat vs active-user LMS pricing — explained
Three models dominate LMS pricing, and the cheapest one depends on your usage pattern:
- Per registered user — you pay for everyone in the system, whether they log in or not. Simple, but you pay for inactive accounts.
- Per active user — you pay only for people who actually log in during the month. Great if usage is seasonal or uneven (e.g. annual compliance pushes).
- Flat fee (tiered) — a fixed price for a band of users, say "up to 100". Most predictable and usually best value for a stable team.
A rough guide: choose active-user if usage spikes and dips; choose flat if you train a steady number of people; treat per-registered-user with caution if many accounts sit idle.
Whatever the model, ask the vendor to model your numbers in writing. The right model can change your annual cost significantly for the exact same platform.
